Share a saved Library file with workspace members, or publish a read-only link anyone can open.
- Open the file's ⋯ menu in the Library or its preview.
- Choose Share… to give the workspace or individual members Can view or Can edit access. Files whose original source cannot be edited offer view access only.
- Copy the shared link. Recipients sign in and must still belong to the selected workspace.
- Choose Publish…, then Create public link, for an anonymous read-only link. Anyone with it can view and download the file.
Where: Library file row or file preview > ⋯ > Share… / Publish… (web and Mac).
The link follows the original saved file; sharing does not make a separate copy or move it into the selected workspace. Removing a person's separate setting restores their workspace access. To revoke their access, both their separate setting and workspace access must be off; removing them from the workspace also blocks the link. Stop publishing revokes the public link; workspace and individual access are controlled separately. Previously downloaded copies cannot be recalled.
This works for uploaded files, task files, memory notes, skill files, and saved artifacts. Large files and formats without a preview remain downloadable. On Mac, a local-only meeting recording must be explicitly uploaded before it can have a cloud link.
For a DesignSystem on web, use Edit file to choose the file; on Mac, select its file tab. Then use the preview's ⋯ menu or the file row's ⋯ menu. Sharing a selected file shares that file, rather than the system's default document. Members with edit access save the same original file and its supported version history.
Existing artifact links, version pins, and export remain under Published link settings… in the preview's ⋯ menu. Those older links have their own settings; turning off a new Library link does not revoke a separately published artifact link.
